After this guide, you can …

  • Check access and submission channel early
  • Transmit the approved package correctly
  • Keep evidence that a bid was actually submitted
01

1. Open the procedure’s prescribed link

Follow the submission link in the current procurement documents. A search service such as TED and the actual tender-submission portal may be different systems. Verify procedure identifier, buyer, lot and deadline before selecting files. A general email address or contact form does not replace a prescribed secure submission route. Vergabezone’s bid workspace is for preparation, not automatic transmission to the buyer.

02

2. Register and test before the final day

If required, create an account for the correct legal entity, verify the email and configure authorised users. Check technical requirements, supported formats, size limits and any bidding software. Use signatures or seals in the form actually requested; do not obtain extra certificates merely on assumption. Our portal guides explain typical processes, while the operator’s current help identifies the actual controls.

03

3. Check the final package

Upload only approved files into the prescribed areas. Check mandatory fields, prices, company details, lot selection and declarations. Open or review uploaded files where the system allows it. A successful file upload does not necessarily mean the complete bid has been formally submitted. Have an independent reviewer compare the portal package with your final document list.

04

4. Complete the final submission action

Complete the entire submission flow, including required confirmations. Then verify status and save the receipt with timestamp, identifier and any version number. Allow an internal technical buffer; the procedure’s deadline remains authoritative, not your reminder. If problems arise, record errors and contact the designated support promptly. A technical problem or phone call does not automatically extend time or authorise an alternative submission.

05

5. Make changes only through the prescribed process

If changes are needed before the deadline, follow the portal’s withdrawal and resubmission instructions. Verify which version ultimately counts as received and save the new receipt. After the deadline, do not assume a revised price sheet sent by email will be accepted. Continue checking the official mailbox for clarification or supplementation requests, responding within their permitted scope and deadline.

Keep this in mind:

Submission is complete only when the prescribed sending process is finished and receipt can be verified.
