Start with an evidence register
Open “Evidence & documents”. Use “Add record” for a title, category and other details; “Upload file” adds an actual file. Distinguish a register entry from an original document you hold.
Check content and validity
Record the owner and relevant validity dates. Open the intended version and check that the company name, scope and period fit the actual need.
Choose usage permissions deliberately
Review the separate permissions for bid-workspace use and any external AI processing. Uploading a file grants neither automatically. Confidential client documents require appropriate authority.
Link evidence to the procedure
Open “Requirements” for the relevant procedure. Use “Link evidence” on the appropriate row and choose the reviewed record. Note in your review which page or passage answers the requirement.
Plan renewals
Filter missing or expiring evidence and create a timely task. A previously used file does not stay current merely because it appeared in an earlier bid.
Make the method concrete.
The business has a reviewed liability-insurance file, but it expires during the proposed contract period. It links the current evidence and schedules a renewal check.
Avoid this common pitfall.
Treating a filename as proof of compliance. Content, validity and the required form matter.
Common questions, clearly answered.
Who sees my evidence?
Evidence belongs to the protected workspace. Membership and roles determine access. This public walkthrough uses example records only.
Are files automatically sent to AI?
An upload alone does not authorise external AI use. Review the separate permissions and the requested function.
