After this guide, you can …

  • Extract the decisive information
  • Separate suitability from award evaluation
  • Record a reasoned decision to participate
01

1. Capture the essentials

Open the full notice and linked procurement documents. Record buyer, procedure identifier, scope, delivery location, duration, lots, current deadline with time and submission platform. Check whether a site visit, presentation or participation application is required. A title is only a headline. The detail may contain scope, working hours or technical requirements that materially change your initial view.

02

2. Separate three types of requirement

Suitability concerns your business: can you and are you permitted to deliver? Performance requirements concern the offered result: what must be supplied? Award criteria determine the comparative evaluation of admissible bids, such as price and specified aspects of quality. A friendly company introduction replaces neither a required licence nor a concrete quality response. Give each requirement a row containing its source, response, evidence, owner and status.

03

3. Read the contract and attachments too

A workable bid needs more than an application form and price sheet. Read the specification, contract terms, required declarations, evaluation documents and published answers. Check payment, liability, acceptance, price changes and actual delivery obligations. Turn ambiguities into questions rather than silently choosing a favourable assumption. Your own terms or alterations may conflict with prescribed conditions; resolve this before submitting.

04

4. Make the decision with unresolved points visible

Assess fit, suitability, commercial viability and preparation time separately. Give each unresolved point a specific clarification action and internal deadline. Record a decision not to bid as well as an approval. Vergabezone can keep the opportunity and tasks together; your business makes the decision. A summary or AI analysis helps reading, but every decisive statement should be checked against its original location.

Keep this in mind:

A good bid decision comes from the complete documents, not the headline.
