After this guide, you can …

  • Distinguish intention from a binding award
  • Check contractual start conditions
  • Plan a clean handover into delivery
01

1. Read exactly what the message says

A notice of intended award is not necessarily the binding contract itself. Certain public procedures require information and a standstill before contract formation, with exceptions and different applicable regimes. Read the wording, procedure status and contract conditions. An effective award may form the contract. Rather than universally assuming another handwritten signature is needed, clarify the actual legal effect of the communication.

02

2. Reconcile commitments with the contract record

Collect the governing contract documents, submitted bid and relevant procedural answers. Check start dates, staff, partners, insurance, any security requirements, contacts and approvals. Resolve conditions before triggering obligations that depend on them. Do not silently reduce scope after award. Public procurement can place particular limits on material changes; these are not matters to settle informally at project kick-off.

03

3. Hand the bid over to the delivery team

Create a start brief: what is owed, who owns it, how performance will be evidenced and which dates are critical. Carry scored commitments into operational planning. If you promised cover arrangements, implement them. Agree how incidents and changes are communicated. Vergabezone’s tasks and evidence can support the handover; binding contract communication follows the agreed contacts and channels.

04

4. Plan acceptance, invoicing and future evidence

Clarify inspection and acceptance, and the required invoice details, purchase references, formats and receiving channels. Do not assume any PDF will suffice. Retain delivery and acceptance records. After successful performance, ask whether and how you may use the project as a reference. A well-delivered first contract creates stronger evidence for future bids than merely announcing a win.

Keep this in mind:

Award starts the customer relationship. Your commitments now need to work reliably in practice.
