PRACTICAL LESSON 04 / 12

Organise evidence once and reuse it carefully

Build a controlled evidence library rather than an overflowing attachment folder.

THE QUICK ANSWER

Reusable evidence saves effort when its content, scope, issuer, owner and currency remain clear. Maintain a central register and connect each requested item to a suitable document. Recheck format, language and submission stage for every procedure. An existing reference or certificate does not automatically fit every contract, and a previous self-declaration must never be copied without confirming that its statements remain accurate.

Teams often spend unnecessary time locating the same insurance record or project description. A controlled library improves reliability without encouraging indiscriminate attachments. It also protects confidential information by helping colleagues assemble only the evidence that is relevant, authorised and actually requested for the individual competition they are preparing.

A reason to think further

News and lesson kept separate

The method is useful, with or without a matching headline.

This prepared version contains no suitable dated news reference for the lesson. The original learning exercise below stands on its own.

A topical news connection does not establish an open contract. The original procurement documents establish binding requirements and deadlines.

FROM IDEA TO ROUTINE

Here is how to approach it.

Five practical steps, always grounded in the original documents.

  1. 01

    Separate evidence categories

Distinguish company information, insurance, project references, personal qualifications and contract-specific declarations. Record who can verify their substance. A general service description and a named person's qualification establish different things, so they should not be hidden behind the same ambiguous document label.

  2. 02

    Record the actual scope

Identify the legal entity, covered activity and relevant period. For certificates and insurance, check the sites, services and risks actually included. A document held by an affiliated company does not automatically establish the position of the business that will submit the bid.

  3. 03

    Preserve originals and approval

Retain the original with its source and review date. Keep separately approved versions for proposal use. Do not remove personal information indiscriminately if it is genuinely required; assess the purpose, permission and necessary scope before deciding what should be shared with the buyer.

  4. 04

Map evidence again for each procedure

Check which document is needed, at what stage, in what form and from whom. Select the right version and record gaps. A library does not replace a procedure-specific declaration or establish that a partner's resources are actually available for your proposed delivery.

  5. 05

    Assign maintenance ownership

Give each evidence item an owner and an internal review point. Track changes to the company, staffing or scope of work. Your internal maintenance date is an organisational control; it must not be presented as a universal statutory expiry period or a guarantee of continued acceptance.

FICTIONAL TEACHING CASE · NOT AN ACTUAL CONTRACT

Fictional: Three records for a cleaning business

This invented register illustrates different checks. It deliberately avoids presenting dates as universal evidence-validity periods.

Teaching values and assumptions
RecordCheckOwner
Insurance confirmationDoes cover include the activity?Administration
School-cleaning referenceIs the scope comparable?Project lead
Self-declarationAre its statements current?Company management

Reuse means selecting evidence carefully. The project reference needs a relevance check, the insurance needs a scope check, and the declaration needs current confirmation for the specific procedure.

PAUSE AND CHECK THESE POINTS

Three common
pitfalls.

  1. Checking a record by filename alone when it actually describes another legal entity, activity or period of cover.
  2. Copying customer contacts, personal CVs and confidential contract values into every bid without assessing purpose and permission.
  3. Assuming that every competition will allow missing evidence to be supplied later or that the buyer will request it.
PUT LEARNING INTO PRACTICE

Your next practical step.

On this device only

The exercise

Enter five existing records in the worksheet. Check the legal entity, activity scope and approval for each. Select one live requirement and explain why a particular record supports it. Ask a colleague to challenge that match. Correct a genuine gap instead of attaching the entire library to a bid. Retain your reasoning so the next coordinator can understand the selection without repeating the whole investigation.

Assign an owner to review your most important evidence records.

A QUICK SELF-CHECK

What will you take away?

What is needed before reusing evidence?
Read the answer and explanations

Appropriate answer: Compare its scope with the actual requirement.
Having a document does not establish its suitability for the procedure.

Check this assumption: Only update its filename.
A new name does not correct outdated or unsuitable information.

Check this assumption: Send every confidential attachment to every buyer.
Purpose, approval and necessary scope require review.

GOOD QUESTIONS, CLEAR ANSWERS

What else should you know?

Can a foreign certificate be suitable?

That depends on the requirement and applicable rules. Check language, issuer and potential equivalent evidence against the actual documents rather than assuming that recognition is either automatic or impossible.

Will our most impressive reference always work?

No. Check the requested comparability and the facts that must be demonstrated. A prestigious project can be poor evidence for a materially different service, scale or delivery environment.

Should the team store everything centrally?

Use appropriate access controls and a legitimate purpose. Separate broadly reusable company material from sensitive personal and customer information, and establish suitable retention arrangements for the different categories.
