Know this first

Account and access: Registration is optional for openly available documents but required for questions and electronic participation. The state information describes registration as free.

Where do you submit? In the Offers or Requests to participate module of the correct project room. The available browser or bidding-tool workflow and procurement documents govern submission.

SCHEMATIC EXAMPLENOT A REAL PORTAL
Uploaded does not mean submitted. Complete the formal submission step and retain its receipt.
  1. 01

    Identify the notice

Open the opportunity and note its reference, lots and deadlines. Check that you are in the matching NRW project room; regional marketplaces may have their own addresses.

  2. 02

Check the account and company details

Register only if the company does not already have access. Follow the current email activation or password setup and check the responsible contact person.

  3. 03

    Join the project room

Use the participation or access function shown, or accept an invitation. Finding the project does not itself complete the required participation step.

  4. 04

    Work through documents and communications

Download the current version and read messages. Ask questions in the designated communications area; answers can affect your bid preparation.

  5. 05

    Use the available submission workflow

Open Offers or Requests to participate. The platform directs you to the available web submission or desktop bidding tool. If an electronic signature is required, follow the steps shown for it.

  6. 06

    Review files and submit

Check the required information and attachments. Complete the submission wizard; a saved draft or message does not establish receipt of a tender.

  7. 07

    Save status and confirmation

Check successful receipt in the submission area and save the confirmation. Monitor the inbox and check the procedure rules before making a correction.

Common mistakes to avoid

These are pitfalls, not recommended actions:

  • Assuming anonymous document downloads include automatic update notifications.
  • Following an old guide despite the interface now offering web submission.
  • Uploading a bid to communications instead of the submission function.
