Assuming that a related product is interchangeable can make an offer look compliant without establishing that the exact requested item is actually being supplied. Working output: A product comparison recording the exact requested and offered presentations, supporting documents and reviewer decisions, with proposed alternatives clearly identified for the purchaser's stated acceptance process.
Product documentation does not establish every party's authority, handling arrangements or capacity. A bid may rely on expected upstream availability while leaving storage, transport conditions and exception decisions insufficiently defined across the proposed supply chain. Working output: A supply responsibility map showing upstream support, handling roles and acceptance evidence, with unconfirmed availability and exception ownership visible before the delivery service is promised to the purchaser.
The anticipated annual volume may not establish order frequency or a minimum purchase. Holding stock to meet a demanding service level can expose the supplier to expiry, returns and working-capital costs that disappear inside a simple unit price. Working output: A stock exposure model linking order patterns, reserved availability, returns and payment timing, with a documented lower-volume case and clear responsibility for the service assumptions included in the proposed unit price.
